1Clear Subject Lines – Ensure that your subject line gives clear direction so the email can be easily identified.
醒目的標題。務必使收件人看完標題後一目瞭然。
範例:市場部員工小美去電視臺採訪,偶遇老同學,順便為公司談了一個合作,她回到辦公室給老闆發郵件,題目是Potential marketing recourse with xx TV的郵件。
有時候,一個標題就可以說清楚郵件內容,甚至正文都可以免了。
2 Who are you? What do you want– Make sure you introduce yourself clearly and concisely and let the reader know why you are writing to them.
寫英文郵件時,記得介紹自己、說清你想要什麼——務必簡明扼要地自我介紹,使收件人瞭解郵件的目的。
例如:Jane作為上海區域經理加入了A公司,她整理了客戶資料後給John發了一封郵件:
Hi John, Hope this mail finds you well. I am Jane, SH regional manager from A; I’m contacting you today regarding our upcoming collaboration.
你好John,見信安好。我是A公司的上海區域經理Jane。這封郵件是關於接下來雙方合作的事宜。
3 K.I.S.S. Keep it simple, stupid! – People have lots of emails to read every day. Make sure your emails are easy to understand and have clear actions.
K.I.S.S.原則——儘量簡潔。人們每天要接收大量郵件,所以確保你的郵件簡單易懂和思路清晰。
例如,如果是要求開會,就不需要過多的鋪墊,直接寫明時間、地點等主要因素就夠了。
Meeting Request: Let’s have our weekly meeting on Feb 18th , at 10:30 AM in Meeting room.
@Lisa, could you please take the meeting minutes this time.
@Chris, please buy some snacks and drinks for each person.
